Hourly rate or fixed fee — which is better for you?
Two ways accountants charge:
- Hourly. You pay for time. You do not know the total until the invoice arrives, and every question you email is a billable event.
- Fixed fee. The price is agreed before the work starts, based on what your job actually involves.
For routine compliance work — tax returns, GST, annual accounts — a fixed fee is almost always better for the business owner because the scope is predictable. Hourly billing makes sense for genuinely open-ended work such as a restructure, an IRD review, or a business sale. We quote fixed fees for compliance and agree a scope before any advisory project.
What actually drives the quote up or down?
Revenue size matters far less than people expect. A $2 million business with clean Xero records can cost less to service than a $300,000 business with a shoebox of receipts. The real drivers:
- Record quality. Bank feeds reconciled monthly versus a year of unsorted transactions. This is the single biggest factor.
- Number of entities. Each company, trust or partnership is its own set of accounts and its own return.
- Rental properties. Each property needs its own statement; renovations need a repairs-versus-improvements split.
- Payroll and GST frequency. Monthly GST means six times the filings of a six-monthly filer.
- Complexity of income. Overseas income, foreign shares, cryptocurrency, and property sales all add work and judgement.
- Turnaround. Records sent in April cost less than records sent the week before the deadline.

What should a fee include?
A quote should state, in writing: the entities covered, the returns filed, whether the Companies Office annual return is included, how many questions during the year are included, and what happens if the records turn out to be messier than expected. Is a cheaper accountant a false economy?
Sometimes. A return filed late or wrong costs more than the difference in fee: IRD charges late filing penalties and use-of-money interest, and unclaimed deductions are money left on the table year after year. The question is not "who is cheapest" but "who will file it right, on time, and answer the phone in a language I understand".
